This Privacy Notice explains how Teknofrost processes personal data you give us on this website. It is written to meet the EU General Data Protection Regulation (GDPR), the UK GDPR and the Turkish Personal Data Protection Law No. 6698, which applies because the company is based in Türkiye.

What we collect
When you use Smart Quote: your name, company, phone number, e-mail address, country and city, and the project details you enter (room sizes, temperatures, display cases, capacity and similar). For security we also record the IP address, connection country and browser information of the request.
We do not ask for sensitive data and we do not use your data for automated decisions about you.
Why we use it and our legal basis
- To answer your quote request (preliminary calculation, bill of materials, quotation, contacting you, site survey). Legal basis: steps taken at your request before entering into a contract (GDPR / UK GDPR Art. 6(1)(b); Turkish law Art. 5(2)(c)).
- To keep the website secure and block spam and automated submissions. Legal basis: our legitimate interest (GDPR / UK GDPR Art. 6(1)(f); Turkish law Art. 5(2)(f)).
We do not send you advertising or marketing messages and we do not sell your data.
Who receives your data
Only our own team and the service providers we need to run the website and e-mail: Cloudflare (hosting and spam protection), Resend (e-mail delivery) and Google Workspace (business e-mail). If you give us a mobile number, we may also contact you about your request by phone or WhatsApp (provided by Meta). We may also disclose data where the law requires it or where your project needs it (for example, permit applications).
International transfers
Teknofrost is based in Türkiye, so your data is transferred from the EU or the UK to Türkiye. Our service providers may also process it in other countries, including the United States. Where required, these transfers rely on the standard data protection clauses offered by these providers (including the UK addendum).
How long we keep it
Quote request records are deleted automatically after 13 months. If a request becomes a contract, we keep the related records for the periods required by law.
Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to its use, or send it to you in a portable format. Write to [email protected]; we reply within one month and free of charge.
You also have the right to complain to a data protection authority: in the UK the Information Commissioner's Office (ico.org.uk), in the EU the authority of your country, and in Türkiye the Personal Data Protection Authority (kvkk.gov.tr). We would appreciate the chance to resolve your concern first.
Cookies
We do not use advertising, analytics or tracking cookies, so we do not show a cookie banner. Only security cookies strictly necessary for the site may be set by Cloudflare (e.g. __cf_bm, up to 30 minutes; cf_clearance when a check is needed). The map on our contact page is not loaded until you tap “Show map”; once loaded, Google may process your data under its own privacy policy.
